Privacy Policy

This policy explains what information Adrastia LLC ("Adrastia," "we," "us") collects through the Adrastia™ evidence application and website, why we collect it, and the choices you have.

1. Information we collect

• Account information: your name, email address, password (stored only in hashed form by our authentication provider), and any credentials you enter, such as a title, organization, or license number.
• Evidence and case content: the photos, videos, audio, transcripts, notes, documents, and digital records you add, and the case details you enter.
• Location: device GPS position when you choose to record it with evidence or when opening a case, compass direction when you choose to record it, addresses you search, and approximate location from IP lookups you request.
• Custody and security records: who took each action on a case, when, from which network (IP) address, and with which browser or device. These records are part of the chain of custody.
• Billing information: your plan, subscription status, and billing history. Card details are collected and stored by Stripe. Adrastia never receives your full card number.
• Messages you send us: anything you submit through our contact form.

2. How we use it

• To provide the Service: storing and sealing evidence, building timelines, matches, and reports, and keeping the custody log.
• To manage accounts, seats, plans, and billing.
• To secure the Service and prevent misuse.
• To answer your questions and send important notices about your account or these policies.

We never sell or share your information. The only exception is when a court order or law forces us to. We do not use your evidence or case content for advertising or to train artificial intelligence models.

3. Who can see your information

• People you add to a case can see that case's evidence, custody log, and team list according to their role.
• People who receive your reports see what the report contains. You decide where reports go.
• Service providers that run Adrastia for you. They store and process your information only to provide the service and may not use it for anything else: Supabase (database, file storage, and sign-in), Stripe (payments), Netlify (website hosting and contact form), Zoho (account and password emails), OpenStreetMap Nominatim (address search you request), and ipapi.co (IP location lookups you request).
• ACES verify registry: if you earn the Adrastia™ Certified Evidence Specialist credential, your name, organization, credential ID, issue and expiration dates, and status are shown to anyone who looks up your credential ID at adrastiahq.com/verify. See the ACES Candidate Agreement.
• Court orders and the law: the only time we release your information to anyone you did not choose is when a court order or law forces us to.

4. How long we keep it

Sealed evidence and custody records cannot be edited or deleted through the Service, so the chain of custody stays intact. They are kept for as long as your account is open and for seven years after it ends, unless you ask us in writing to delete them sooner or the law requires otherwise. Records under a legal hold are kept until the hold ends. Billing records are kept as required for tax and accounting.

5. Security

Data is encrypted in transit. Access to cases is restricted by role at the database level. Every action on a case is recorded in a hash-chained log that shows if an entry is changed. No system is perfectly secure, so please use a strong, unique password and keep it private.

6. Your choices and rights

• You can view and update your account and credential information in the app.
• You can export your cases at any time by creating a report.
• You can ask us for a copy of your personal information, or ask us to correct or delete it, through the contact form. Some records may need to be kept for the chain of custody or by law, and we will tell you if so.
• Location is recorded only when you allow it in your device and choose to record it.

7. Children

The Service is not for anyone under 18, and we do not knowingly collect information from children.

8. Changes

If we make a material change to this policy, we will notify you in the app or by email before it takes effect.
